Business thank-you letter

Thank a customer or partner properly. It costs little and is remembered.

A short, sincere thank-you is one of the cheapest ways to keep a customer. Pick what you are thanking them for, add a personal line, and you are done.

Why use it

  • Customers who feel appreciated tend to come back and to recommend you.
  • Thanking someone for a referral encourages them to do it again.
  • A proper letter stands out in a world of automated "thanks for your order" emails.

How it works

  1. Add your business details and the person you are thanking.
  2. Choose what you are thanking them for, or pick "other" and write your own.
  3. Add a personal note and, if you like, a small offer.
  4. Download, sign and send it, or copy the text into an email or card.

Good to know

  • "Thank you" is a shortened form of "I thank you", which English speakers have been saying for centuries.
  • Mention one specific detail (the order, the person they referred, a moment from the year). Specific thanks feels sincere; generic thanks feels like a template.
  • Sign it by hand if you print it. Even a quick signature makes a printed letter feel personal.

Questions

When should I send a thank-you letter?

Soon. Within a few days of an order or referral, or at the end of the year for loyal customers. A late thank-you is still better than none.

Should I include a discount or offer?

Only if it feels natural. A small, genuine gesture is kind; a hard sales pitch can undo the thank-you. If you include an offer, give a clear end date.

Can I use it for a partner or supplier?

Yes. Choose "the partnership" or "other" and write what you are grateful for.
