The paperwork every small business should have

Every sale tells a short story, and each document is one chapter. A quotation says what you will do and for how much. A proforma invoice lets a customer arrange payment or approval before you deliver. The invoice asks for payment, the delivery note proves the goods arrived, and the receipt confirms you were paid. You do not need all five for every sale, but knowing which one fits saves a lot of confusion later.

Numbering matters more than people think. Give each type of document its own sequence, such as INV-001, INV-002, and never skip or reuse a number. If a customer disputes a payment, or a tax officer asks questions, a clean run of numbers shows that nothing has gone missing. Keep a copy of everything you send, even if it is just the PDF saved in a folder on your phone.

Staff deserve paperwork too. A payslip shows what someone earned, what was deducted and what they actually received, and many lenders and landlords ask to see them. A quotation offers a price. A proforma invoice is a preliminary bill, often used so a customer can arrange payment or approval before goods are delivered. An invoice is the actual request for payment for goods or services supplied.

Can I add my own logo?
